What a Food Truck Needs at Your Site: A Host Checklist
Start with the parking spot
The most important question for any food truck visit is where the truck will park. A food truck is large, and it needs a level, stable spot with enough room to open its service window and let guests line up without blocking traffic. Walk the site before the event if you can, and check for overhead wires, low branches, and slopes. Share a photo or a map pin with the truck so the driver can plan the approach in advance.
Plan the access route
Think about the path from the street to the parking spot. Make sure the truck can get there without backing up through a crowd, and that any gates, parking barriers, or narrow alleys are open at the right time. If the event is in a private lot or on a shared property, ask the property owner for permission and for any access codes you will need. A short written route, sent the day before, prevents a lot of confusion.
- Level, stable ground with room for the truck and a service line
- Clear access from the street, with gates or barriers opened in advance
- Clearance for overhead obstacles
- A contact person on-site who can direct the driver
Confirm power and water needs
Ask the truck what it needs to run its equipment, and whether it will bring its own supplies. Some trucks are self-contained, while others need access to a nearby power source. Do not assume an outlet is available just because the site has a building. Confirm the location, the type of connection, and whether it is available for the full service window. If the event is outdoors, ask about weather protection for any connections.
Set up the guest line and the seating
Guests need room to wait without crowding the truck. Mark the line with cones, rope, or tape, and keep it clear of walkways and vehicle lanes. Place a few tables or seating areas nearby so guests can sit and eat. If you expect a large crowd, consider a second line or a second service point. Our tips on how the food truck works at events explain how to keep the line moving once the truck is open.
Coordinate timing and the final details
Share the exact arrival and service times with the truck, along with the expected headcount and any special needs. Ask how much setup time the truck needs before the first guest arrives, and make sure there is a plan if the event starts late. A quick confirmation message the morning of the event helps everyone stay on the same page.
