Compare the same event, not the same price

Two quotes for the same party can look far apart if they describe different things. One caterer might include plates and utensils, while another charges separately for them. One might price per person, another might quote a flat total. Before you compare totals, make sure each quote describes the same event: the same date, headcount, service style, menu, and location. Otherwise you are comparing guesses.

Build a simple comparison grid

Create a short table with one row for each item you care about and one column for each caterer. This makes gaps easy to spot. Include the base food cost, delivery, service staff if needed, plates and utensils, and any setup or breakdown fees. Note whether each quote includes tax and gratuity, and whether any minimum order applies. Write down anything you need to ask.

Look at the menu, not just the total

A low total can hide a thin menu. Check that each quote includes enough protein, sides, and options for your crowd. Compare the menus line by line. For example, a quote with hand-stacked halal chicken shawarma, house-made hummus, and fresh vegetables may be a better fit for a lunch meeting than a quote with fewer items at a lower price. Ask questions that reveal the real cost

Ask each caterer what changes the price. Will the quote go up if the headcount grows by a few people? Is there a fee for a late delivery or a change within the final week? Does pickup save money?
