For large orders we ask for at least 24 to 48 hours notice, so schedule your lunch as soon as the meeting is on the calendar. Choose a time that gives your team enough room to eat before the next session. Share the headcount a day or two in advance if it may change. Keep food at safe temperatures until it is served, and do not leave perishable items out for long periods. A common food-safety guideline is to refrigerate or discard perishable food that has been out for more than two hours. If your team meets in a conference room, ask whether the food can be set up in a separate area so people can eat without interrupting the meeting.
