Plan Around Shifts, Not Just the Clock
A staff appreciation lunch looks simple on paper, but schools and clinics run on shifts that rarely line up. Nurses, aides, front desk staff, and teachers may all work at different times, and many cannot leave their posts for long. The first planning step is to map out who will be on site at each hour. You may decide to hold two lunch windows, or to serve the food in a break room that stays open for a few hours. Once you know the windows, you can estimate how much food each window needs.
Ask a supervisor from each area to share the rough headcount for their shift. Include part-time staff, substitutes, and volunteers if they will be on site. Treat the total as a starting point, then add a buffer for people who come in on a day off to join the lunch.
Choose Food That Holds Up in a Break Room
Break rooms are small, and food often sits out longer than planned. Choose dishes that hold well and that people can eat between tasks. Rice bowls over Lebanese rice are filling and easy to portion. Pita wraps are simple to grab, though pita contains gluten, so label that dish clearly. Hummus, baba ganoush, and fresh vegetables give people a lighter option. Coordinate the delivery with the front office or the person who manages the building, since schools and clinics often have check-in procedures and restricted entrances. Confirm where the food should be placed, and who will sign for it. Pickup is always free, so a staff member who is already on site can collect the order if that works better for your schedule.
Plan the setup for ten or fifteen minutes before the first lunch window. Put napkins, plates, and cups at the start of the line, and place a sign that tells staff when the next window opens. If you plan to keep the food out for a long period, ask us which items hold well and which should be refreshed.
